Collection Policy of the Gjenvick-Gjønvik Archives

Introduction and Overview

This collection policy intends to serve as a guideline for our staff in making decisions regarding potential acquisitions. Guided by the principle mission of the GG Archives that states, "The mission of the Gjenvick-Gjønvik Archives are to collect and preserve social and cultural history primarily from the 1870s through the 1950s, by collecting quality ephemera and primary source documents, supplemented by historical articles and books on topics determined by our collecting policy."

The collection policy is a living document. Currently, in-kind donations of materials from individuals and institutions represent the bulk of our accessions.

Scope of Collections

The GG Archives collects paper-based documents and other records in several specific subject areas and timelines primarily. Materials added to the Archives' collection should be within the particular subject areas and timeframe. 

Guidelines for acquisitions/accessions include rarity, the likelihood of broad general significance, ease of using OCR software for transcribing, overall condition of the item, and the probability of continued interest in the material by researchers and collectors production companies, students/educators, and genealogists.

Chronological and Geographical Range

For our Military Collection: GG Archives actively collects materials related to World Wars I and II regardless of publication date. The GG Archives collects US Naval Training Center graduation books for all periods beginning in the 1940s. We collect other publications and ephemera about the US Navy through the 20th century. There are no date restrictions for US Navy Cruise Books (Aircraft Carriers).

For all other collections: The original publication date for the bulk of our materials in our collections date from the 1870s through 1954. While some materials date previous or after this period, they do not represent a material number and are not actively collected.

Languages

GG Archives collects materials in all European languages that are otherwise in scope with our collecting policy, emphasizing English language materials. GG Archives provides an English translation for all Items in a foreign language for materials uploaded to the GG Archives website. Languages currently represented in the GG Archives include English, French, German, Italian, Dutch, Norwegian, Danish, Swedish, Polish, and Russian.

Collection Acquisition Preference

The GG Archives strongly prefers single-item or directly related grouping of items to bulk, topical or mixed-collections acquisitions or contributions in kind.

Genres Collected

Advertisements
An item printed solely as a means of advertising a product or service, but not an event.
Albums
Bound or loose-leaf sets of pages. Includes handmade albums and published volumes of blank pages designed for the addition of images or keepsakes.
Books
Published non-periodical volumes in bound codex form, usually with 49 or more pages.
Broadsides
Single-sheet notices or announcements printed on one or both sides, intended to be read unfolded.
Catalogs
Enumerations of items arranged systematically with descriptive details. May have prices.
Correspondence
Communication by the exchange of letters.
Diaries
A daily record, especially a personal record of events, experiences, and observations; a journal.
Ephemera
Transient everyday items, usually printed and on paper, are manufactured for a specific limited use, then often discarded. This includes everyday materials that are meant to be saved, at least for a while, such as keepsakes and stock certificates.
Immigrant passage tickets, ID tags, vaccination certificates, landing cards, passenger lists, menus, and other voyage related documents are examples of ephemera held by the GG Archives.
 
Essays
A short literary composition on a single subject, usually presenting the personal view of the author.
Ethnography
Documentation made for or by anthropologists and others involved in the systematic recording of human cultures.
Illustrations
Images that explain or elaborate a written or spoken text; may be issued separately from the text.
Interviews
A conversation, such as one conducted by a reporter, in which facts or statements are elicited from another.
Leaflets
Unbound volumes with fewer than five pages.
Manuscripts
A book, document, or other composition written by hand. A typewritten or handwritten version of a book, an article, a document, or other work, especially the author's own copy, prepared and submitted for publication in print. Handwriting.
Maps
Graphic delineations at a set scale, of all or part of the earth or another celestial sphere indicating the relative position of selected artificial and natural features.
Miscellaneous Documents
A written or printed paper that bears the original, official, or legal form of something and can be used to furnish decisive evidence or information.
Narratives
A narrated account; a story.
Pamphlets
Published non-periodical volumes with no cover or with a paper cover. Usually 5 or more pages and fewer than 49 pages.
Periodicals
Serials usually issued at regular intervals and more frequently than annually.
Photographs
A general designation for any photographic process. The narrower terms include both physical media and genre categories.
Portraits
Graphic representations, especially of the face, of real persons, usually posed, living or dead. Pictures whose purpose is the portrayal of an individual or several people, not pictures that merely include people as part of an event or scene.
Postcards
Cards on which a message may be written or printed for mailing without an envelope; often include a pictorial, comic, or other scene on one side.
Posters
Single or multi-sheet notices made to attract attention to events, activities, causes, goods, or services; also, purely decorative posters. For posting, usually in a public place; chiefly pictorial. Intended to make an immediate impression from a distance.
Prints
Images formed by transfer from one surface or source to another. Usually created with ink(s) and produced in multiple impressions.
Programs
Lists of the events, pieces, performers, speakers, etc., of an entertainment, ceremony, or the like.
Sheet Music
Unbound songs and other pieces of music on eight or fewer pages.
Timetables
Items printed solely for use as timetables (e.g., train schedules).

Passenger Lists

Passenger lists collected by GG Archives are the souvenir booklets provided to passengers on each voyage. The GG Archives has over 2,000 Passenger Lists in our Steamships/Ocean Liners Collections, consisting primarily of westbound cabin class passengers.

Our most extensive holdings of Passenger Lists are for the Cunard Line / Cunard White Star Line. This represents one of our most popular collections.

The passenger lists vary considerably between steamship lines in terms of information provided on each passenger. Often, separate lists were prepared for the various travel classes, while some voyages combined the classes into one or two passenger lists for the same journey.

Westbound transatlantic passenger lists from the 1870s through 1954 have our highest priority for our permanent collection.

Preferences for the class of passengers for inclusion into our collection are (in order of preference): Steerage, Third Class, Tourist Class, Tourist Third Class, Second Class/Second Cabin, Cabin Class, First Class/First Cabin/Saloon Class, One Class, and Unspecified Class.

Steamship Lines Brochures and other Ephemera

Our collection includes ephemera from all major transatlantic lines operating in the North Atlantic between 1870 and 1954. As a part of advertising and promotional materials for all of the steamship lines, separately and jointly/collectively issued, the brochures made a wonderful collectible of the voyage along with posters, calendars, extract of logbooks, and itineraries or sailing schedules.

Major steamship lines represented in the brochure collections of the GG Archives include Canadian Pacific (CPOS), CGT French Line, Cunard Line, Hamburg American Line (HAPAG), Holland America Line, North German Lloyd (Norddeutscher Lloyd, Bremen), Red Star Line, United States Lines, and the White Star Line.

Brochures provide a variable amount of information; some focus on accommodations, others on voyages, and rates. The steamship lines produced the majority of brochures for cabin class passengers. The information for passengers detailed in many of the pamphlets of this era offers information not found elsewhere and is of significant value to the genealogist, researcher, and maritime enthusiast.

Preference for collecting are brochures covering accommodations including interior/exterior ship photographs, routes, information for passengers, voyages and rates, tours and cruises, entertainment and concert related bulletins, motion picture/movie shows (onboard), other – unspecified.

Steamship Passage Contracts / Tickets

Primary source documents primarily for transatlantic westbound immigrant passage are a rich source of information often including name of immigrant, age, origination and destination ports, steamship line and vessel, fare paid, class of travel. Agent's records are also valuable, but typically exclude contractual information provided to the traveler.

GG Archives places the highest value on documents within this collection due to the unique nature of the material and its importance to students, genealogists, and researchers.

Vintage Menus

Vintage steamship menus covering breakfast, lunch, dinner, and special menus provide an insight into the variety of foods served on the transatlantic steamships and ocean liners from the 1800s through the 1950s.

Steerage – Immigrants

Steerage (or Tween Decks) and Third Class was the default choice of many immigrants from the 1850s through the 1930s. The conditions varied by steamship line and were likely to be harsh compared to modern standards. Early steerage often housed hundreds of immigrants in one large room. 

The Gjenvick-Gjønvik Archives collects documents, period articles, and images that document this class of travel.

Immigration History

The Gjenvick-Gjønvik Archives has a considerable number of documents and information on the mass migration of immigrants from primarily European countries to North America. Note that we also cover Immigration and the social-economic and other factors under separate topics.

The immigrants gained access to the United States principally through the north Atlantic ports of entry of the steamship lines. These ports, in order of importance, were New York, Boston, Philadelphia, and Baltimore. Through New York at Ellis Island came nearly three-fourths of all our immigrants. 

Documents, articles, and images are collected that document immigration history from the 1870s through 1954 (the year Ellis Island closed).

The Archives collects period articles, photographs, and illustrations that allow researchers to discover what life was like on board the steamship through historical reports richly illustrated with pictures and drawings from the 1870s through the 1950s.

Vintage Fashions

The Gjenvick-Gjønvik Archives has collected a large number of photographs, articles, and period advertisements for fashion and related topics for the 1870s through the 1920s. Students of fashion and costume design may also gain a greater understanding of the styles provided for both the affluent and the common under-classes through the series of articles and illustrations on the Archives' website.

Most sought after fashion periodicals include: Cunard Daily Bulletin Fashion and Pleasure Resort Supplement Issues, The Delineator, Woman's World, Modern Priscilla, and similar titles.

The Archives collects and preserves many vintage magazines in the areas of Fashion, Maritime, Scientific / Technical, General Reading, Genealogy, History, Military, Trade Publications, Women's Magazines, and Scandinavian Publications. Publications collected include several more recent issues dealing with collection topics.

Steamship - Ocean Liner Postcards

The Gjenvick-Gjønvik Archives has hundreds of vintage postcards, primarily dealing with maritime topics or port of calls that date from the late 1800s to the 1950s.

Other Collections

WPA - Works Progress Administration

The Gjenvick-Gjønvik Archives has many original documents, books, and other items about the Works Project Administration. Educators and researchers have found our collection to be an excellent resource for the classroom. Students can experience the New Deal through original documents of the era, and gain a better understanding of the Great Depression.

Historical Documents - Special Documents Collection

Since its inception in 1991, the Gjenvick-Gjønvik Archives has acquired several original immigration and other historical documents from the 19th and early 20th centuries. These documents form our Special Collections section of the Archives and provide a rich source of information for the researcher and family historian working on their Genealogy.

Teachers of Middle School and higher grades find many of the documents useful to supplement their coursework covering history, immigration, and social studies in the classroom. Students will also find these documents particularly helpful in illustrating their essays and reports.

Books

The Gjenvick-Gjønvik Archives has an extensive collection of books in many topical sections that provide an excellent reference for the researcher and genealogist. Books collected cover subjects and topics including Cookbooks, Directories, Genealogy, History, Immigration, Maritime, Minnesota, Norway, Scandinavian, Sweden, Viking, World War I, World War II, and books about ports of call.
